Use this checklist to bring roof, gutter, facade and window concerns into one clear maintenance enquiry. It is designed for committees and managers preparing work on an occupied Wellington building.

Start with the right scope
Before you compare proposals
Start with the building records rather than a list of trades. Altitude's commercial services include condition reporting, exterior cleaning and repairs. A coordinated brief helps explain what needs investigating, what can be quoted and which decisions still sit with the body corporate.
01
Gather the evidence
Bring together the existing maintenance plan, reports, repair history and resident observations. Give each concern a location and date. Keep a recurring leak and a cosmetic mark as separate entries even when both appear on the same elevation.
02
Group the next actions
Sort items into investigation, planned maintenance and work already defined. Grouping by elevation can help reveal access that might be coordinated. Do not delay an unresolved safety concern or active water-entry issue simply to package it with a future repaint.
03
Agree who decides
Identify the building manager, access contact and person authorised to accept a scope. Confirm which approvals and resident notices are needed. A contractor enquiry should make those dependencies visible before a programme is agreed.

Exterior maintenance briefing checklist
Roof: collect condition reports and unresolved repair items.
Gutters: record overflow locations and cleaning history.
Facade: identify cracks, loose material and failed finishes.
Windows: separate cleaning, damaged glass and water-entry concerns.
Access: gather roof-system records and note occupied areas below.
Decisions: identify approval contacts, priorities and the requested reporting format.
Questions before you book
How should we sequence several jobs?
One example is to investigate recurring water entry, agree necessary repairs, then coordinate coating or cleaning work around the repaired areas. The actual sequence should follow the findings and the building's priorities, rather than a fixed calendar.
Can one quote cover every concern?
Some items may be ready to price while others need investigation first. Ask the proposal to separate confirmed work, assumptions and further assessment. That helps the committee understand what it is approving.
What should be kept after the work?
Keep the accepted scope, variations, photographs, completion information and outstanding actions with the building records. Ask for the required handover format before work is commissioned, especially if the information supports a later plan review.
